Missed Appointments

Find Date to do Missed Calls

1. Powers Day Tracking Sheet


 

2. Find next date available date. It should be not colored. 

If update to date. This should be yesterdays date


3. Update to yellow to identify as "in progress"


4. From the main calendar to yesterday's schedule or desired date. (In progress date)



5. Open a providers calendar by clicking on the name in title bar.





6. Start from the first patient and work down. 



Identify Missed Appointments

7. Identify missed appointment by:

      a.  Select the patient and check in the bottom left to see if patient was signed off on the in progress date. 
 
- this will be the last signed off date 



IF DATE MATCHES IN PROGRESS DATE - PATIENT WAS SEEN 
MOVE TO NEXT PATIENT - STEP 7
IF DATE DOES NOT SHOW IN PROGRESS DATE.
MOVE TO STEP 8

8. Double click name of patient from the calendar



- If a chart notice opens with a record of the encounter date


IF DATE MATCHES IN PROGRESS DATE - PATIENT WAS SEEN 
MOVE TO NEXT PATIENT
IF DATE DOES NOT MATCH IN PROGRESS DATE. 
OR 
CHART NOTICE DOES NOT OPEN
PATIENT WAS NOT SEEN

Missed Appointment Identified

9. After missed appointment is identified. Find patient number



11. Patient picked up and rescheduled.

- Re-Schedule in EHR
- Save message in chart
"Patient re-scheduled for missed appointment MM/DD/YY"


12. Patient didn't pick up 

- Save a message to the patient chart

choose based on case

Left VM in regards to reschedule MM/DD/YY missed apt.
Couldn't leave VM in regards to reschedule MM/DD/YY missed appt. 


Move to step 18

Add Missed Appointment to Call Lists

13. Add to Call lists No Show FU



14. Add to record



Call Status: Left Message (IF VM LEFT) - Not Picked Up (IF NO VM LEFT)
Call Date: Next day
Call Notes:
External ID: "pt id" - "missed date"
First Name: first name
Last Name: last name
DOB: Birthday
Email: Email
Primary Phone: phone number
Description: Missed Visit on MM/DD



15. Send Message (SMS/EMAIL)



16. Select "No Answer - Missed Appointment" for SMS and Email

- DO NOT SELECT IF FIELD NOT AVAILABLE
Email - Phone 



16. Send Blast



Move to Next PT  - Step 7

When all missed appointments completed - Step 16


17. Update Yellow to Green identify as "Completed"
